DTM Finance Guidelines

Each month, complete the checklist. Check off tasks accomplished. Sign with your name and the date. When a second person is required, acquire their name and signature also.

Daily

  • For any withdrawal from petty cash, use the official accounting form (receipt), completed in two copies.
  • For the reimbursement of client debts, use the official accounting form (receipt), completed in two copies.

Each Week

  • Try to keep around [amount]cfa in the small cashbox.
  • If the amount in the small cashbox exceeds [amount]cfa, move it to the big cashbox.

Each Two Weeks

  • Reconcile the amount of money in petty cash and compare the total with the accounting software.
  • Never do the reconciliation alone.
  • Deposit the money received during the two-week period into the main cashbox.

Each Month

  • Verify Book Inventory
  • Verify Finance Complete
    • Count physical money in each cashbox, including the big cashbox and verify that it corresponds with the accounting software.
  • Compare Inventory with Finance
  • If the amount in the big cashbox exceeds [amount]cfa, transfer it to the EcoBank account.
  • Prepare a report with the following: (Template link)
    • Value of inventory
    • Amount of cash in big cashbox
    • Amount of cash in small cashbox
    • Analysis/balance of inventory vs. cash

Each Trimester

  • Verify Consumables Inventory
    • (If a consumable is may to run out soon, take care to order more in plenty of time. Some supplies come from America, and may take months to finally arrive in Chad. Plan well ahead!)
